This page was designed as an effort to provide information and clarity to the TEDS data gathering cycle.

The following is an example of the complete TEDS data gathering cycle as it will apply to students from the 2005-2006 academic year.

Box 1

Prior to the beginning of the Fall 2006 semester, the Office of IR will run a series of reports to determine who is enrolled in a specific program in the Fall 2006.

First, IR will determine which students in the respective program graduated out of the program in the previous academic year (05-06 completers), which students that were enrolled in the previous year have continued in the program and are back in the same or different program in Fall 2006, and which students that did not graduate from the program the previous year and have not continued in the respective program or another program are defined as “leavers” or “transfers” to another institution.

New students, freshmen, that enroll for the first time in the program are also included as enrolled in the program in the Fall 2006.

Box 2

The process mentioned at the left then yields information regarding current academic year enrollment, which student has received a credential from a program (completers) during the previous academic year, and which students who were enrolled the previous academic year but do not come back to the program in the subsequent academic year (leavers or transfers).

The accuracy of the data collected as described to the left and above is critical to the accuracy of program performance and our performance as measured by the Perkins Performance Measures for Graduation and Academic Attainment.

This data is usually locked early in the Fall semester.

   

Box 4

Beginning in December of the current academic year, the Office of IR begins printing out 6 month follow up letters for students that were determined to be completers in the program during the previous academic year.

For example, in December 2006 IR will print letters for students listed as completers during 2005-2006.

These letters are sent to program coordinators for their student follow up.

Program coordinators cite their program records and/or contact the individual to determine their former students' 6 month status after completing the program.

This data affects the Perkins Performance Measure for Placement.

This data is usually locked towards the end of the Spring semester.

At this time, some program coordinators have decided to implement an employer survey. This can be implemented online to save time for both the program coordinator, the employer, and the Coordinator of IR.

Box 3

Shortly after the Office of IR coordinates this data, reports are sent to the program coordinator for each respective program for verification of the data.  Program Coordinators are asked to confirm the students listed as completers, leavers, transfers, and the current enrollment in the program.

Once the reports are returned to the Office of IR, the Coordinator for IR will take the edits made by the program coordinator and make the changes for that program in the TEDS database.  Shortly thereafter, the TEDS enrollment data for the current academic year (in this example, 06-07) will be locked (usually in October).  Thus the completers, leavers, and transfers from the previous academic year are now official, along with the enrollment in the current academic year.


   

Box 5

Beginning early in the following academic year (at the same time information from box 2 is being gathered) program coordinators will be receiving the one year follow up form on students.

For example, in the Fall of 2007, program coordinators will be completing enrollment, completers, leavers, and data on students from academic year 2006-2007, and will be completing the one year follow up form on students from the 2005-2006 academic year.

Box 6

Program coordinators will begin the TEDS data gathering cycle for the 2005-2006 academic year during the Fall of 2006. The cycle for the 2005-2006 academic year will not be complete until the Fall of 2007.
